We are hiring an Operations Associate…
Summary: The Operations Associate oversees and executes the museum’s daily operations to deliver exceptional experiences for members and visitors while providing support to the Executive Director and board. This role combines customer and member services, administrative tasks, and facility management to ensure the museum runs smoothly and efficiently. The ideal candidate is proactive, tech-savvy, highly organized, detail-focused, and skilled at multitasking and communication.
Reports to: Executive Director
Work Schedule: 32 hours a week, Flexible (32 hours x $22 x 52 = $36,608)
Development & Membership
Manage the membership program, including preparing solicitation, renewals, acknowledgement and event coordination, and serve as the main contact for members
Manage the donor database (DonorSnap), including gift/donor data entry, donor information review and clean up—ensuring strong data integrity/accuracy
Collaborate with the ED and committees in the execution of cultivation and membership events, including logistical support, mail merges, event registration and day-of event execution
Assist with grant development and reporting
Send weekly e-news and press releases as needed
Administration
Bookkeeping prep: processing deposits, bill payments, invoicing, and reconciling credit card statements
Serve as the main point of contact for all museum services, contractors and vendors
Answer calls, greet visitors as needed
Manage inventory of office, cleaning, gift shop and programs supplies, maintain orderly office and display environment
Manage the museum’s shared google calendar
Programming/Events
Assist ED and committees with all programming and event prep including Maritime Festival, Land & Sea Gala, Bug Light Cruises, summer camp, lectures, film screenings and Summer Socials
Process all program registration and produce spreadsheets, run reports as needed
Supervise custodian and assist with set-up and clean up for all events
Operations
Schedule, train and supervise front desk staff
Recruit, train, schedule and motivate volunteer docents, conduct tours in their absence
Maintain a clean and orderly gift shop
Manage routine building and aquarium maintenance
What You’ll Bring
Bachelors degree or higher or equivalent education and work experience
Knowledge of workplace technology or willingness to master: Microsoft Suite, Google, DonorSnap, Mail Chimp, Constant Contact, Jotform, Square, Canva
Strong organizational skills, attention to detail
Collaborative mindset with a proactive and problem-solving approach
Excellent written and verbal communication skills
Ability to juggle multiple priorities and meet deadlines
Commitment to confidentiality and the museum’s mission
